The Office of the Student Affairs and Services (OSAS) is responsible for the development and implementation of various programs and services that focus on the nonacademic aspects of the student’s life in the Institution.

Student Assistantship Guidelines

Rationale:

This program aims to support deserving students of the College Department by providing financial assistance to help address tuition costs through a scholarship within the requesting office. While financial assistance lessens the tuition costs, most of the students encounter challenges in satisfying other basic needs such as transportation, projects, food, and extracurricular activities. Regrettably, the Dominican College of Tarlac (DCT) resources alone are inadequate in covering the additional expenses.

As a response, DCT opens the Student Assistantship (SA) program. This step, available to all college students, is outlined to provide not only financial assistance but also priceless opportunities for skill development. Students selected from the program will gain active experience that enhances their academic journey and equips them with practical skills for future success.

This program will be supervised by the Office of Student Affairs and Services (OSAS). The program aligns students with financial assistance while promoting growth in key areas. DCT is devoted to supporting students in achieving academic performance and professional benefits through a skillful and comprehensive approach.


Objectives:

  • Designate at least one qualified student assistant for the requesting office every semester/academic year.
  • Ensure the student assistant renders at least 80 service hours per semester supporting clerical, academic, and student services tasks.
  • Assist (allowance or tuition discount) as compensation for service.
  • Immerse students in the Dominikano work environment.
  • Conduct a performance evaluation at the end of each semester, ensuring at least an 80% satisfactory rating.

Student Eligibility and Retention:

Eligibility

Students who meet the following criteria are eligible to participate in the SA program:

  • Must be a Filipino Citizen;
  • Must be a bona fide Dominican College of Tarlac student in at least 18 units during the term of assistantship;
  • Must not have any major offense;
  • Must have a Cumulative GPA of at least 85% to 87% at the start of application to the SA program;
  • Must not have any failing grade in any course in the preceding term of enrollment; and
  • College students must have written consent from their parents on record.

Retention

To maintain privileges, SA assignees are required to;

  • Maintain ALL the provided eligibility criteria and
  • Gain a performance evaluation rating of at least 3.41 from the requesting department in the preceding term of the assistantship.

Conditions on Student Assistantship

  1. Hours to be rendered
    1. SA assignees are required to report for a minimum of five (5) hours per week, with a maximum of twenty (20) hours per week.
    2. The assistantship schedule must be between Mondays and Fridays and fall at any time between 8:00 AM and 8:00 PM.
    3. SA assignees are not allowed to report for assistantship during holidays and/or class suspension periods. The requesting department is responsible for ensuring that SA assignees do not report on these days. Any assistantship performed during these periods will be considered voluntary service and will not be compensated.
    4. A maximum of 80 hours may be rendered per month. To maintain a proper balance between academic responsibilities and assistantship duties, any hours exceeding the stated limit will not be allowed. Any excess beyond the 80-hour assistantship limit will not be recoded on file and shall be considered as voluntary service to the requesting department.
    5. During their term of assistantship, SA assignees who complete a maximum of 20 hours per week shall be given advance enrollment privileges.
  2. SA may be ended at any time during the term by OSAS and/or the host department at any time during the term for a valid cause.
    1. Violation of School Rules and Regulations
    2. Poor academic performance
    3. Neglect of assigned duties
    4. Excessive absences or tardiness without a valid reason. Valid reasons may include;
      1. Illness or medical emergency (must be supported by a medical certificate)
      2. Family Emergency (such as death, accident, or urgent situation at home)
      3. Official school activity (academic, co-curricular, or extra-curricular, approved by the Administration)
      4. Natural calamities or unforeseen events (flood, heavy rain, strike, etc.)
      5. Personal circumstances (with prior notice and approval from OSAS/host department)
    5. Breach of confidentiality in handling school-related information.
    6. Loss of eligibility due to suspension, probation, or other sanctions.
  3. SA assignees are bound by the disciplinary policies stated in the Student Handbook.

Application Process

  • Student Assistantship Application Form ( SAP-Application-form.docx )
  • Updated Resume
  • Recent 2×2 Colored photo
  • A printed copy of grades from previous academic terms; for first-year applicants without an academic record at DCT, a photocopy of Form 138 may be submitted instead.
  • A photocopy of Certificate of Registration (COR)
  • Accomplished Parental Consent ( SAP-CONSENT.docx ) Form with a photocopy of the parent’s valid ID on file.
  • Certificate of Good Moral Character from the Guidance and Counseling Office (GCO)

Notes:
  • OSAS shall keep an active record of all submitted applications and supporting documents.
  • Applicants will be informed by OSAS regarding possible placements within the Student Assistantship (SA) program, subject to the availability of slots.
  • Once assigned to a requesting department or office. OSAS will coordinate with the Student Assistant for an initial orientation.

For offices requesting Student Assistantship

The following procedures shall apply depending on whether the request pertains to a new Student Assistant (SA) or the renewal of an existing assignment:

  1. Requesting a New Student Assistantship (SA):
    1. The requesting office shall submit the accomplished Student Assistantship Acquisition Form ( SAP-Acquisition.docx ) to the OSAS office.
    2. If the office intends to replace an SA, a new request form must be submitted.
    3. Should the office have a pre-identified candidate, the details must be indicated in Section 3 of the form. However, the candidate must still undergo the standard application process.
    4. OSAS will evaluate the pre-identified applicant to determine eligibility. If qualified, OSAS will inform the office regarding the applicant’s deployment status.
  2. Renewal of a Student Assistantship (SA):
    1. The requesting office shall submit both the SA Evaluation Form and the Student Assistantship Renewal Form ( SAP-Renewal.docx ) to the OSAS office before the end of the current term.
    2. Renewal requests must include a performance evaluation of the SA from the host office.
    3. OSAS shall verify the SA’s academic standing and compliance with the Student Handbook, as the eligibility requirements remain applicable for renewal.
    4. If the SA remains eligible, OSAS will confirm the renewal and notify the requesting office of the updated deployment status.

Processing Time

OSAS shall process all requests and provide status updates to the requesting office regarding the deployment of new or renewed SA. The standard processing period is approximately two (2) weeks from the date of receipt, excluding holidays, class suspensions, and Weekends.
